Position Overview – Hybrid Project Associate (Full‑Time) Talensparkx is seeking a meticulous, numbers‑savvy individual to join the Revenue Recovery Department as a Project Associate . This hybrid role blends remote and on‑site work (approximately 2‑3 days per week in the West Hempstead office) and offers the chance to work directly with a multidisciplinary team of registered nurses, coding specialists, and billing professionals. The core purpose of the role is to facilitate the retrieval, processing, and analysis of patient medical records so that our clients receive the reimbursement they rightfully deserve.

Key Responsibilities

Medical Record Retrieval: Access and extract patient charts from diverse hospital information systems (e.g., Epic, Cerner, MEDITECH) while adhering to privacy and compliance standards. Itemized Billing Preparation: Generate accurate patient‑level itemized bills in formats required for internal audits, external payer reviews, and regulatory examinations. Data Extraction & Entry: Transfer critical financial and clinical information into Flexzenith’s proprietary patient accounting platform, ensuring completeness and correctness. Provider Communication: Conduct professional telephone outreach to post‑acute care facilities, physicians’ offices, and ancillary service providers to obtain missing documentation or clarification. Report Development: Build, run, and distribute regular and ad‑hoc reports that track claim status, revenue gaps, and recovery progress using Excel, Power BI, or similar tools. Information Gathering Support: Assist the recovery team with additional data‑collection tasks, such as chart audits, compliance checks, and reconciliations. Scanning & Indexing: Digitally scan paper documents, assign appropriate metadata, and maintain organized, searchable archives within Jobmatrixo’s document management system. Quality Assurance: Perform routine QA checks on entered data, flag inconsistencies, and collaborate with clinicians to resolve discrepancies. Process Improvement: Identify bottlenecks, suggest workflow enhancements, and contribute to the development of best‑practice SOPs for record handling.

Essential Qualifications

A high school diploma or GED is required; an associate’s degree in Health Information Management, Business Administration, or a related field is preferred. Minimum of 1–2 years of experience in medical records handling, health‑care data entry, or a similar administrative role. Demonstrated proficiency with Microsoft Excel (pivot tables, VLOOKUP, advanced formulas) and comfort navigating electronic health record (EHR) systems. Strong analytical mindset with the ability to spot errors, reconcile figures, and interpret clinical documentation. Excellent verbal and written communication skills, especially when interacting with clinical staff and external facilities. Attention to detail and a commitment to maintaining HIPAA compliance and data security at all times. Ability to work both independently in a remote setting and collaboratively within the West Hempstead office environment. Preferred Qualifications & Additional Assets Certification as a Certified Coding Associate (CCA) or Certified Professional Coder (CPC). Experience with revenue cycle management, claims adjudication, or reimbursement auditing. Familiarity with healthcare billing software such as MEDITECH, Epic Resolute, or ClaimMD. Exposure to data‑visualization tools (Power BI, Tableau) for reporting purposes. Knowledge of ICD‑10‑CM, CPT, and HCPCS coding systems. Prior experience in a hybrid or remote work environment, demonstrating self‑discipline and time‑management skills.
