Job Summary

As a Customer Service Representative at arenaflex, you'll play a critical role in ensuring that our clients receive prompt, professional, and courteous service. You'll be responsible for handling incoming phone calls, responding to email inquiries, and resolving issues related to medical record requests. Responsibilities

As a Customer Service Representative at arenaflex, your key responsibilities will include:

  • Answering incoming phone calls and responding to email inquiries regarding medical record requests for record status, concerns, issues, etc.
  • Researching patient record information and medical records to resolve issues
  • Maintaining quality and production standards as defined by client contract and/or management determination of the need
  • Managing time adequately to ensure proper turnaround for all tasks such as customer service requests, follow-up, and feedback
  • Working with teammates and managers to ensure the needs of the client are being met
  • Assisting in the development of process improvement initiatives
  • Communicating with clients, internal staff, vendors, and arenaflex through various communication channels such as phone, fax, physical mail, and email
  • Responding to client requests in a timely and professional manner
  • Organizing and releasing records via email, physical mail, and fax

Requirements

To be successful in this role, you'll need to possess the following qualifications and skills:

  • High school diploma or equivalent (required)
  • 1 year of customer service experience (required)
  • Excellent communication and customer service skills to assist clients via phone and email
  • Excellent computer and keyboarding skills
  • Ability to learn and use corporate proprietary software and/or 3rd party tools
  • Strong ability to multitask and demonstrate critical thinking skills
  • Experience working with Google Suite, Microsoft Word, and Excel
  • Experience with HIPAA, the Release of Information process, medical records, and/or physician practice operations is highly preferred
  • Ability to work in a fast-paced environment and meet productivity standards
  • Strong analytical and problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information

Preferred Qualifications

While not required, the following qualifications and skills are highly desirable:

  • Experience working in a healthcare or medical records setting
  • Knowledge of HIPAA regulations and guidelines
  • Experience with electronic medical records (EMRs) and/or practice management systems
  • Strong understanding of medical terminology and anatomy
  • Experience with customer relationship management (CRM) software
