Senior Event Coordinator - Sports & Entertainment

Our client, a dynamic leader in the sports and entertainment industry based in Indianapolis, Indiana, US , is seeking a creative and highly organized Senior Event Coordinator. This role is instrumental in conceptualizing, planning, and executing a wide range of high-profile events, from major sporting competitions to exclusive entertainment gatherings. The ideal candidate will have a passion for live events, exceptional project management skills, and a proven ability to manage complex logistics, budgets, and vendor relationships. Responsibilities: Lead the planning and execution of diverse events, including sporting tournaments, concerts, corporate functions, and community gatherings. Develop comprehensive event plans, including timelines, budgets, resource allocation, and risk management strategies. Source and manage relationships with vendors, including venues, caterers, A/V providers, decorators, and security. Oversee event logistics, such as setup, teardown, registration, seating arrangements, and on-site coordination. Manage event budgets meticulously, tracking expenses, processing invoices, and ensuring fiscal responsibility. Collaborate with marketing and PR teams to develop event promotion strategies and collateral. Ensure all events comply with relevant permits, licenses, and safety regulations. Conduct post-event analysis, gathering feedback and preparing reports on event success, financial performance, and lessons learned. Proactively identify potential issues and develop contingency plans to ensure smooth event execution. Coordinate with internal teams, volunteers, and external stakeholders to ensure seamless event delivery. Stay abreast of industry trends, innovative event concepts, and best practices in sports and entertainment event management. Serve as a key point of contact for VIPs, sponsors, and participants during events. Qualifications: Bachelor's degree in Event Management, Hospitality, Marketing, Sports Management, or a related field. Minimum of 6 years of progressive experience in event planning and coordination, with a significant focus on sports or entertainment events. Demonstrated experience in managing budgets for large-scale events. Strong project management skills, with the ability to manage multiple projects simultaneously. Excellent negotiation and vendor management skills. Proficiency in event management software and tools. Exceptional organizational, communication, and interpersonal skills. Ability to work effectively under pressure and meet tight deadlines. A creative mindset with a keen eye for detail and aesthetics. Flexibility to work non-traditional hours, including evenings, weekends, and holidays, as event schedules demand. Experience with contract negotiation and review is a plus.
