Position Summary Atlas Technica is seeking a highly organized, proactive, and detail-oriented AI & Advisory Administrator to support the Global Head of AI & Advisory and help keep the department running smoothly. This role blends executive support, operational coordination, and sales and process administration. The person in this role will manage scheduling, support client and internal follow-up, maintain accurate records across systems, coordinate with cross-functional teams, help keep AI-related work moving through internal processes, and prepare polished materials including decks, briefs, and internal/external communications. The ideal candidate is strong at follow-through, comfortable managing many moving pieces at once, and able to turn high-level direction into organized execution.

Responsibilities

Support the daily operations of the AI & Advisory function, helping improve team efficiency, coordination, and follow-through. Manage the calendar of the Global Head of AI & Advisory, including internal meetings, client and partner meetings, and related scheduling logistics. Coordinate outreach, scheduling, logistics, preparation materials, and follow-up for client, partner, prospect, and internal meetings, including conferences, events, and strategic sessions. Monitor the Atlas AI mailbox and ensure inquiries are responded to or routed appropriately within 24 hours. Prepare and organize high-quality presentations, slide decks, briefs, articles, and other business materials; strong slide deck creation skills are required. Track sales and operational activity across CRM and project systems to ensure records are accurate, current, and aligned. Help coordinate AI-related opportunities, including SOWs, approvals, and internal handoffs across Business Development, Service Operations, Finance, Marketing, and delivery teams. Maintain and organize AI-related documentation and content, including collateral, templates, briefs, articles, and promotional materials. Support reporting on team activity, pipeline visibility, and progress against goals. Assist with onboarding logistics, documentation, and knowledge organization for new AI team members and initiatives. Submit travel and expense reports for the Global Head of AI & Advisory following business travel. Maintain a working understanding of Atlas Technica’s AI & Advisory offerings to accurately route questions, support materials, and internal requests. Contribute to internal and external communications related to the AI practice, including content coordination and document updates.

Qualifications

High school diploma or equivalent required; bachelor’s degree in business administration or a related field is a plus. Proven experience in an administrative, executive assistant, operations, sales support, or client-facing coordination role. Strong organizational skills with the ability to prioritize effectively and meet deadlines in a fast-paced environment. Excellent written and verbal communication skills. Strong attention to detail and strong follow-through. Proficiency in presentation creation and document formatting. Comfort working across CRM, documentation, and project management systems. Ability to coordinate across multiple stakeholders and keep work moving without constant direction. Experience in technology, professional services, or customer-facing environments is preferred.
