Position Summary

The Remote Pharmacy Data Entry & Customer Support Specialist is responsible for performing accurate information processing, patient enrollment, and high-volume customer support in alignment with HIPAA regulations, state guidelines, and arenaflex protocols. Reporting to a designated supervisor, this role requires direct engagement with patients, prescribers, and insurance providers through inbound and outbound communication channels including phone calls, live chat, and email correspondence.

Successful candidates will utilize proprietary pharmacy systems to input and verify patient and medication data, resolve third-party billing exceptions, and provide administrative support to pharmacists across multiple locations. Key Responsibilities

Data Entry and Patient Information Management

  • Process new patient enrollment using established data entry procedures and arenaflex protocols, ensuring all information is accurately entered into the appropriate systems.
  • Handle patient prescription requests in full compliance with HIPAA rules and regulations, entering refill orders for timely processing.
  • Investigate and obtain missing prescription information, including the interpretation of medical abbreviations and standard pharmacy SIG codes.
  • Resolve all data entry exceptions in a timely and accurate manner, escalating complex issues to senior-level staff as appropriate.
  • Maintain meticulous records of all data transactions, ensuring audit-ready documentation at all times.

Customer and Prescriber Communication

  • Manage inbound patient communications via phone, live chat, and email, addressing inquiries with professionalism, empathy, and accuracy.
  • Place outbound calls to prescribers and patients as needed to clarify prescriptions, verify information, and provide updates on order status.
  • Provide timely responses to high-volume customer requests, maintaining service level agreements and quality benchmarks.
  • Document all customer interactions thoroughly in the customer relationship management (CRM) system.

Third-Party Exception Resolution

  • Examine and analyze third-party billing exceptions by gathering information, making necessary corrections, and resubmitting claims for processing per individual plan requirements.
  • Initiate phone calls to insurance guarantors and other relevant parties to obtain required information, secure override approvals, and resolve third-party exceptions efficiently.
  • Track and follow up on pending exception cases, ensuring resolution within established timelines.

Pharmacist Support and Team Collaboration

  • Provide administrative and operational assistance to pharmacists, both in-office and at remote locations, as needed.
  • Identify, document, and communicate operational issues, system errors, or process improvements to senior-level staff.
  • Participate in team meetings, training sessions, and quality improvement initiatives.
  • Maintain up-to-date knowledge of pharmacy systems, procedures, and regulatory requirements.

Licensure and Compliance

  • Obtain an active pharmacy technician license or certification within the first 90 days of employment.
  • Maintain an active technician license or certification throughout the duration of employment.
  • Adhere strictly to all state, federal, and organizational compliance standards.

Essential Qualifications

  • Education: High School Diploma or GED equivalent is required.
  • Basic Computer Skills: Demonstrated ability to start up and shut down a computer, use a mouse to point and click, launch and close programs, switch between applications, save files, print reports, and access information online.
  • Web Navigation: Foundational knowledge of internet browsers, including the ability to open a browser, enter URLs in the correct location, use search engines, bookmark websites, navigate using back/forward/stop buttons, and complete online forms.
  • Keyboarding: Intermediate typing skills with a minimum of 25 words per minute (WPM), including the ability to type by memory and format basic documents.
  • Communication: Clear and effective communication skills, both written and verbal.
  • Age Requirement: Must be 18 years of age or older.

Preferred Qualifications

  • At least one year of pharmacy technician experience in a retail or call center environment.

  • Advanced typing skills of 35 WPM or higher, including typing by memory and formatting complex documents.
  • Bilingual proficiency in Spanish and English is highly desirable.
