As a Data Entry Clerk at arenaflex, you will be the backbone of our information flow, ensuring that every piece of data—whether it originates from internal teams, external partners, or our valued customers—is captured quickly, accurately, and consistently. Your work will enable seamless collaboration across departments, support compliance initiatives, and help us maintain the high standards that define our brand.

Key Responsibilities

  • Enter and update records in our Electronic Medical Records (EMR) system and other proprietary databases with precision.
  • Gather, verify, and organize source documents, emails, and communications from employees, dealers, and customers.

  • Maintain meticulous file management practices, ensuring that all electronic and physical records are properly labeled, stored, and retrievable.
  • Provide entry‑level administrative support to the data entry team, such as preparing spreadsheets, generating reports, and assisting with mailings.
  • Train newly hired data entry staff on system navigation, data entry standards, and quality‑control procedures.
  • Collaborate with dealers and internal stakeholders to resolve data inconsistencies and ensure alignment with business processes.
  • Operate data‑entry devices, including scanners and keypunch machines, to facilitate efficient data capture.
  • Document and communicate any systemic issues or recurring errors to the appropriate supervisors for timely resolution.

Essential Qualifications

  • High school diploma or equivalent; associate degree or coursework in business administration, information systems, or a related field is a plus.
  • Demonstrated ability to type accurately at a minimum of 60 words per minute with a high degree of precision.
  • Strong attention to detail and a proven track record of maintaining data integrity in fast‑paced environments.
  • Excellent verbal and written communication skills, enabling effective interaction with internal teams and external partners.
  • Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database management tools.
  • Self‑motivated, reliable, and capable of working independently while meeting strict deadlines.
  • Ability to handle confidential information with discretion and adhere to data‑privacy regulations.

Preferred Qualifications & Skills

  • Experience with EMR or other specialized industry software.
  • Prior exposure to the coffee, tea, or broader food‑and‑beverage sector.
  • Knowledge of Fair Trade and organic certification processes.
