Key Responsibilities

As a Remote Virtual Assistant supporting arenaflex’s Inflight Services team, you will be the operational backbone that ensures smooth scheduling, communication, and coordination across multiple time zones and functional groups. Your day‑to‑day duties will include:

  • Coordinating the activities of Inflight Team schedulers within the central Operations Control Center (OCC).
  • Managing shift rotations for the Inflight Team Scheduling function, ensuring coverage aligns with flight schedules and operational demand.
  • Liaising with cross‑functional teams inside the OCC, including flight operations, crew management, and technical support, to resolve scheduling conflicts and maintain service continuity.
  • Drafting, reviewing, and maintaining legally compliant agreements and operational procedures, guaranteeing accuracy and adherence to regulatory standards.
  • Acting as a primary point of contact between the OCC and external departments, fostering transparent communication and collaborative problem‑solving.
  • Maintaining positive relationships with crew representatives and union delegates, addressing concerns promptly and professionally.
  • Supervising a team of senior schedulers and junior schedulers, providing mentorship, performance feedback, and career development guidance.
  • Creating and delivering training materials for new hires, ensuring consistent knowledge transfer and operational excellence.
  • Serving as a Subject Matter Expert (SME) for Inflight Planning on IT initiatives, training programs, and project deployments.
  • Continuously identifying process improvement opportunities, documenting best practices, and recommending automation or workflow enhancements.

Essential Qualifications

To thrive in this role, candidates must demonstrate a solid foundation of administrative and scheduling expertise, coupled with strong interpersonal skills. The minimum qualifications are:

  • High school diploma or GED equivalent.
  • At least four (4) years of experience in administrative support, preferably within a fast‑paced, operational environment.
  • Minimum four (4) years of experience in scheduling or planning activities, with a track record of managing complex calendars and shift patterns.
  • Exceptional written and verbal communication skills in English.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with scheduling software or workforce management tools.
  • Legal authorization to work in the United States without sponsorship.
  • Demonstrated reliability, punctuality, and a strong work ethic.
  • Ability to pass a background check and meet any additional security requirements for remote access to arenaxflex systems.

Preferred Qualifications

While not mandatory, the following experiences will set you apart from other candidates:

  • Four (4)+ years of progressive experience in both administrative and people‑focused operations.
  • Direct experience with Inflight or airline crew scheduling, including knowledge of crew duty time regulations.
  • Leadership experience supervising a team of schedulers or coordinators.
  • Hands‑on involvement in shift management for large, distributed teams.
  • Proven ability to coordinate and communicate effectively with multiple internal groups within an OCC or similar command center.
  • Familiarity with airline union protocols and collective bargaining agreements.
  • Experience acting as an SME on IT or training projects, especially those related to scheduling platforms.
