Position Overview

arenaflex is seeking motivated, detail‑oriented Remote Data Entry Specialists to join our dynamic Customer Service team. In this full‑time, work‑from‑home role, you will be the frontline guardian of patient information, ensuring accurate enrollment, medication data entry, and compliance with HIPAA and internal policies. You will interact with patients, prescribers, and internal pharmacy staff, providing timely resolutions to high‑volume inquiries while maintaining the highest standards of data integrity.

Key Responsibilities

  • Data Entry & Patient Enrollment: Accurately input patient and prescription information into arenaflex’s proprietary pharmacy systems, following established data‑passage protocols.
  • Medication Order Management: Process refill and “top‑off” orders, verify prescription details, and resolve missing or incomplete medication data while adhering to HIPAA regulations.
  • Clinical Code Interpretation: Decode and enter SIG (directions for use) codes, ensuring that all clinical abbreviations are correctly captured.
  • Outbound & Inbound Communications: Answer inbound calls, chats, and messages from patients; initiate outbound calls to prescribers, guarantors, or patients to obtain necessary authorizations or clarifications.
  • Exception Handling: Identify, investigate, and correct “exception” cases—such as incomplete records or mismatched data—by gathering additional information and resubmitting entries per workflow requirements.
  • Collaboration with Pharmacy Teams: Provide support to on‑site and remote pharmacy staff, escalating complex issues to senior specialists when needed.
  • Compliance & Documentation: Maintain meticulous records of all interactions, ensuring that each transaction is fully documented and audit‑ready.
  • Continuous Learning: Obtain a relevant professional certification within the first 90 days and sustain an active certification throughout employment.

Essential Qualifications

  • High school diploma or GED equivalent.
  • Basic computer proficiency: ability to power on/off a computer, use a mouse, navigate between applications, save and print documents, and access online resources.
  • Fundamental web browsing skills: opening programs, typing URLs, using bookmarks, and navigating web pages efficiently.
  • Keyboarding speed of at least 25 WPM with a focus on accuracy and the ability to type from memory.
  • Strong verbal and written communication skills; ability to convey information clearly to patients and team members.
  • Minimum age of 18 years.

Preferred Qualifications & Experience

  • One year of experience in a pharmacy or retail environment, preferably with a focus on customer service or call‑center operations.
  • 1‑1.5 years of experience handling pharmacy enrollment or state‑mandated verification processes.
  • Demonstrated ability to deliver high‑quality customer service to both internal and external stakeholders, meeting service level agreements and quality standards.
  • Advanced keyboarding speed of 35 WPM or higher, with a high degree of accuracy.
  • Bilingual proficiency in Spanish and English, enabling effective communication with a diverse patient base.
  • Familiarity with pharmacy software platforms and electronic health record (EHR) systems is a plus.
