As part of our expanding team, you will join a culture that values curiosity, precision, and collaboration, and you will have the opportunity to contribute to projects that have a tangible impact on the success of our clients and the broader industry.

Role Overview

The Data Entry Specialist at arenaflex is the guardian of data accuracy and the first line of defense against information loss. In this role, you will be responsible for capturing, validating, and maintaining critical business data across multiple platforms, ensuring that every entry is error‑free, secure, and readily accessible for downstream analytics and reporting. You will work closely with cross‑functional teams—including operations, finance, compliance, and IT—to understand data requirements, resolve discrepancies, and continuously improve data handling processes. This position is ideal for a meticulous professional who thrives in a structured environment, enjoys repetitive yet meaningful tasks, and seeks to grow within a dynamic, technology‑focused organization.

Key Responsibilities

  • Perform high‑volume input of customer, account, and transactional data from source documents, ensuring both textual and numerical information is captured accurately.
  • Organize incoming information according to priority levels, preparing source data for seamless computer entry and downstream processing.
  • Conduct targeted research to locate missing or ambiguous data, collaborating with internal stakeholders to verify and supplement information as needed.
  • Review entered data for deficiencies or errors, applying corrective actions promptly and documenting any inconsistencies for future reference.
  • Utilize best‑in‑class data entry techniques, tools, and automation solutions to optimize speed, accuracy, and overall efficiency of the data entry workflow.
  • Generate routine and ad‑hoc reports that summarize data entry activities, error rates, and productivity metrics; store completed work in designated, secure repositories.
  • Execute regular backup operations and maintain version control to safeguard against data loss and ensure rapid recovery in case of system failures.
  • Operate scanning and printing equipment to digitize hard‑copy documents, ensuring that electronic versions meet quality standards for readability and compliance.
  • Respond promptly to internal queries for information, providing accurate data extracts and guiding colleagues on how to access relevant files.
  • Uphold arenaflex’s corporate policies on data integrity, confidentiality, and security, handling sensitive information with the utmost discretion.
  • Monitor the proper usage of office equipment, reporting any malfunctions or maintenance needs to the facilities team to minimize downtime.
  • Participate in continuous improvement initiatives, suggesting enhancements to data entry procedures, templates, and validation rules.

Essential Qualifications

  • Minimum of 2 years proven experience in a Data Entry Operator, Office Clerk, or similar role, with a track record of meeting or exceeding productivity targets.
  • Demonstrated proficiency with Microsoft Office Suite—particularly Excel—and familiarity with data management software such as Access, Google Sheets, or proprietary CRM platforms.
  • Exceptional typing speed (≥70 words per minute) with a high degree of accuracy (error rate ≤1%).
  • Strong command of English spelling, grammar, and punctuation, ensuring that all entered data is free from typographical errors.
  • Excellent organizational skills, with the ability to prioritize multiple tasks, meet deadlines, and maintain meticulous records.
  • High level of integrity and confidentiality when handling sensitive corporate information.
  • High school diploma or equivalent; additional certifications in office administration, data management, or related fields are a plus.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related discipline.
  • Experience with data validation tools, OCR (Optical Character Recognition) software, or automated data capture solutions.
  • Familiarity with basic database concepts (SQL queries, relational tables) and the ability to perform simple data extracts.
  • Previous exposure to regulated industries (e.g., finance, healthcare) where data security and compliance are paramount.
  • Demonstrated ability to work effectively in a team-oriented environment, contributing ideas and supporting colleagues during peak periods.
  • Certification such as Microsoft Office Specialist (MOS) or Certified Data Management Professional (CDMP).

Core Skills & Competencies

  • Attention to Detail: Ability to spot inconsistencies, duplicate entries, and formatting errors that could compromise data quality.
  • Analytical Thinking: Capacity to interpret source documents, extract relevant information, and make logical decisions when faced with ambiguous data.
  • Time Management: Skill in balancing high‑volume workloads while maintaining accuracy and meeting strict deadlines.
  • Communication: Clear written and verbal communication to interact with team members, supervisors, and internal clients.
  • Technical Aptitude: Comfort with learning new software tools, adapting to evolving data entry platforms, and troubleshooting minor technical issues.
  • Team Collaboration: Willingness to share knowledge, assist peers, and contribute to a supportive, results‑driven work culture.
  • Problem‑Solving: Proactive approach to identifying root causes of data discrepancies and implementing corrective measures.
