We are currently seeking a dedicated, detail-oriented Remote Energy Services Data Entry Clerk to support our Energy Services Programs. Position Overview

As an Energy Services Data Entry Clerk at arenaflex, you will serve as a critical operational backbone for our Energy Services Programs. Key Responsibilities and Duties

Data Management and System Administration

  • Accurately input and maintain updated client status records within the Statewide Client Service Center, ensuring that the production pipeline reflects real-time, accurate information.
  • Monitor incoming emails and systematically log all documents, communications, and correspondence in the Monday.com platform upon receipt, maintaining a comprehensive digital trail.
  • Operate multiple database systems with precision, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand, following established program guidelines for each platform.
  • Perform regular data audits and quality checks to ensure information integrity across all systems.

File Organization and Compliance

  • Maintain meticulously organized digital and paper participant files in strict accordance with program guidelines, agency policies, and funder requirements.
  • Ensure all documentation meets compliance standards for energy assistance programs and human services delivery.
  • Support record retention protocols and assist with file retrieval processes as needed.
  • Manage confidential client information with the highest level of discretion and professionalism.

Communication and Collaboration

  • Partner with program staff to support, enhance, and promote consistent communication and service delivery standards.
  • Serve as a reliable point of contact for internal team members seeking information or assistance with documentation.
  • Contribute to team meetings by providing updates on data trends, system issues, and workflow improvements.
  • Coordinate with colleagues to streamline processes and identify opportunities for operational efficiency.

Clerical and Administrative Support

  • Assist with various clerical duties including filing, preparing mailings, and providing phone coverage as needed.
  • Maintain availability for remote work responsibilities, including attending virtual meetings, participating in conference calls, responding to emails, and conducting regular duties within established timeframes.
  • Attend all required staff meetings, supervision sessions, training programs, and contractual meetings, whether virtual or in-person.

Essential Qualifications and Experience

Education and Background

  • Associate degree from an accredited institution, or equivalent professional experience demonstrating comparable competency.
  • A minimum of two years of experience in human services or a closely related field, or applicable work experience working with diverse individuals and families with low incomes.
  • Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education, providing flexibility for candidates with non-traditional career paths.

Language and Cultural Competency

  • Bilingual proficiency in Spanish is strongly preferred, as it significantly enhances our ability to serve diverse community populations.
