Key Responsibilities

Data Entry & Accuracy

  • Enter, verify, and update member, provider, and financial data in arenaflex’s secure systems with a focus on precision.
  • Conduct routine audits to identify and correct discrepancies, ensuring data integrity across all platforms.
  • Maintain confidentiality and compliance with HIPAA and other regulatory standards while handling sensitive information.
  • Collaborate with IT and compliance teams to suggest improvements to data workflows and system usability.

Customer Service Excellence

  • Respond to inbound member and provider inquiries via phone, email, and chat, delivering courteous and knowledgeable assistance.
  • Resolve issues related to claims, benefits, appointments, and account information, escalating complex cases when necessary.
  • Document interactions in the CRM system, capturing key details to support future reference and trend analysis.
  • Identify opportunities to enhance service delivery and share feedback with leadership to drive continuous improvement.

Payroll Processing & Administration

  • Assist the payroll team in preparing, reviewing, and posting payroll for arenaflex’s remote workforce.
  • Validate time‑keeping records, reconcile hours worked, and ensure accurate wage calculations.
  • Support the preparation of payroll tax filings, benefit deductions, and year‑end reporting.
  • Maintain up‑to‑date knowledge of federal, state, and local payroll regulations to guarantee compliance.

Virtual Assistant Support

  • Provide executive administrative assistance to senior leaders, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and format documents, presentations, and reports, ensuring consistency with arenaflex branding guidelines.
  • Manage project timelines, track deliverables, and follow up on action items to keep cross‑functional initiatives on schedule.
  • Facilitate communication between departments, acting as a liaison to streamline information flow.

Essential Qualifications

  • Education: High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration, Health Services, or related field preferred.
  • Experience: Minimum 2 years of combined experience in data entry, customer service, payroll, or virtual assistance, preferably within a healthcare or insurance environment.
  • Technical Proficiency: Strong command of Microsoft Office Suite (Excel, Word, Outlook) and familiarity with CRM, payroll, and data‑management software.
