Key Responsibilities – What You’ll Do Every Day

Customer Interaction & Lead Management

  • Engage with prospective patients via live chat on the arenaflex website, delivering prompt, accurate, and courteous responses.
  • Utilize arenaflex’s CRM tool (e.g., Intercom, Salesforce) to capture lead information, track conversation history, and schedule in‑clinic or virtual consultations.
  • Maintain a 100% response rate to incoming chats, ensuring no visitor is left unanswered.
  • Qualify leads by asking targeted questions, confirming eligibility, and aligning patient needs with appropriate practice services.
  • Provide approved pricing details, service descriptions, and other essential information while adhering to compliance guidelines.

Collaboration & Process Optimization

  • Follow the established lead journey process, moving prospects smoothly from initial contact to booked appointment.
  • Partner with the Director of Sales Operations and leadership teams to meet strategic sourcing and sales targets.
  • Assist practice locations (PLs) across the organization by sharing insights, supporting cross‑location initiatives, and contributing to unified sales efforts.
  • Participate in ad‑hoc projects, such as script refinement, chat‑bot enhancements, and data‑driven reporting.

Administrative & Reporting Duties

  • Document chat transcripts, lead qualifications, and appointment outcomes accurately within the CRM.
  • Generate daily and weekly performance reports, highlighting key metrics such as chat volume, conversion rates, and average response times.
  • Support sales‑related administrative tasks, including follow‑up email drafting, calendar coordination, and lead distribution.

Essential Qualifications – What We Require

  • Minimum of 1 year experience in inside sales, remote sales, or a comparable customer‑facing role.
  • Demonstrated proficiency with CRM platforms, preferably Intercom or Salesforce.
  • Typing speed of at least 60 words per minute with high accuracy.
  • Exceptional verbal and written communication skills, with the ability to convey complex information clearly and empathetically.
  • Strong organizational abilities and the capacity to manage multiple simultaneous chat conversations without sacrificing quality.

  • Availability to work the core shift of 5 pm–1 am ET / 3 pm–10 pm PT, with flexibility for training sessions from 9 am–5 pm local time.
  • Willingness to work at least one weekend day (Saturday or Sunday) each week; availability on both days is a significant advantage.
