Position Overview

The Remote Data Entry & Reconciliation Specialist plays a critical role in ensuring that every trade, transfer, and corporate action is captured, processed, and reconciled with precision. Working from the comfort of your home office, you will interact with internal teams, external partners, and the arenaflex clearing network to maintain the integrity of client and advisor accounts. Your work directly influences client satisfaction, regulatory compliance, and the overall health of arenaflex’s investment platform.

Key Responsibilities

  • Trade & Transfer Processing: Accurately enter exchange deal purchases, transfers, and dividend transactions into client profiles, adhering to arenaflex’s standard operating procedures.
  • Reconciliation & Settlement: Perform daily reconciliation of trade, transfer, and corporate action data, identifying and resolving discrepancies between arenaflex and fund providers, custodians, or transfer agents.
  • Corporate Action Management: Process corporate action events (e.g., mergers, spin‑offs, stock splits) and ensure timely settlement and accurate allocation to client accounts.
  • Issue Investigation: Conduct root‑cause analysis on complex or escalated issues, collaborating with technology, compliance, and partner teams to implement corrective actions.
  • Technology Validation: Participate in testing and validation of new system enhancements, providing feedback that drives continuous improvement of arenaflex’s platforms.
  • Regulatory Compliance: Execute client‑level exemptions and support regulatory reporting requirements such as Rule 2340 and SEC Rule 15c3‑3.
  • Partner Communication: Serve as the primary point of contact for fund providers, transfer brokers, and other external partners via email, phone, Slack, and Salesforce, ensuring clear and professional communication.
  • Documentation & Reporting: Maintain detailed logs of transactions, reconciliations, and issue resolutions to support audit trails and performance metrics.
  • Continuous Learning: Stay current on industry best practices, tax coding updates, and emerging financial technologies to enhance service delivery.

Essential Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree in finance, business, or a related field is preferred.
  • Minimum 2 years of experience in data entry, trade processing, or financial reconciliation within a brokerage, clearinghouse, or investment firm.
  • Strong understanding of investment terminology, corporate actions, dividend processing, and transfer mechanics.
  • Demonstrated ability to work independently in a remote environment while meeting strict deadlines.
  • Excellent written and verbal communication skills; proficiency in professional correspondence via email, chat, and phone.
  • Proficiency with Salesforce, Microsoft Excel (including pivot tables and advanced formulas), and other data‑management tools.
  • Attention to detail and a commitment to delivering error‑free work under pressure.
  • Ability to interpret and apply regulatory guidelines (e.g., SEC rules, FINRA regulations) to daily operations.
